Business Challenges

The client required a set of policies, procedures, and tools to allow its 25,000 employees to track the location of IT assets across three states to ensure their investments were properly utilized. The client’s current IT asset management process was too labor intensive and prone to missed opportunities to stop payments on retired or out-of-service assets. They were also challenged with the ability to create monthly Total Cost of Ownership (TCO) reports for infrastructure, licensing, and applications. Finally, the organization required more visibility into the Terms and Conditions of maintenance contracts that were tied to a payment schedule.

 

 

The Solution

Through its IT Asset Management (ITAM) program, Zanett aimed to achieve sustainable cost reduction of the organization’s desktop asset contracts and implement a streamlined asset management process. Throughout the process, Zanett employed its proven REV™ methodology to create alignment between measurable business objectives and the client’s ITAM initiative.

Zanett analyzed the current state of the client’s asset management environment in terms of people, processes and technology. This assessment allowed Zanett to compare the current asset management capabilities against industry best practices to identify performance improvement opportunities and the steps necessary to improve efficiency and lower costs.

The results of Zanett’s assessment showed the client how to drive down costs through better asset tracking and management and by gaining greater control of licenses, vendor contracts and asset terms and conditions. This assessment also outlined ways to eliminate waste by identifying redundancy in assets that are not being used and assets that could be used more effectively.

Along with a detailed analysis of performance gaps, Zanett made recommendations for improving the technology supporting the client’s ITAM strategy, including the level of integration with existing business processes and service desk solutions. Zanett thoroughly evaluated technology solutions, including demos, scoring and implementation roadmaps, and selected the technology that best met the requirements of the client’s ITAM strategy.

 

 

The Results

Zanett’s IT Asset Management program resulted in substantial cost savings for the insurance provider, with the first year savings in excess of $2.5 million.

In addition to the significant cost savings, the client’s IT assessment tool configuration was optimized to better manage the assets and create effective reports to management, resulting in such benefits as:

  • Manual processes greatly reduced
  • Data captured in a single system
  • Automatic reports provided to management and accounting
  • Visibility into all assets recorded with turnover or retirement schedule
